General
Enrollsy was founded in July of 2017 by Rich Hogan. We are an employee owned business without the influence of outside investors. Our clients and our employees influence our roadmap. Our revenue, not external capital or debt, fuels our growth.
Yes. Enrollsy requires an annual license agreement. You can pay for your license either all at once for a 10% discount or divided into 12 equal, monthly payments. The agreement renews on a month-to-month basis after the first year.
You can cancel your Enrollsy subscription anytime you wish. Your license is good for a full year and then converts into a month-to-month agreement from that time forward. Your setup and implementation fee is non-refundable. Your annual subscription fee, whether paid monthly or annually is also non-refundable. We reserve the right to refund either of these fees should we choose to do to so, but we are under no obligation to refund any amount.

Support
Enrollsy offers personalized trainings that are Zoom recorded during and after the implementation process. Additionally, our help center contains over 500 support articles with videos, animated GIFs, screenshots, and step-by-step tutorials on how to do just about everything in Enrollsy. There are also tooltips and other useful user-interface elements in the platform designed to help you get the most out of Enrollsy.
Enrollsy offers live chat, email, calls/texts, and Zoom meetings if necessary. Customer support is available from 9 am - 8 pm ET.
Typically, the answer is no; however, if we decide that this course of action will eliminate the need for unnecessary back and forth, we may extend prioritized and specialized support using resources outside of our support team.
For live chat, our average first response time is around three minutes. For email, our average response time is a few hours.
Enrollsy has an implementation team that is happy to help you every step of the way. We typically prefer to teach you how to use our platform so that you're self-sufficient and can work independently of us. But, we can help you if necessary. We reserve the right to charge for work done outside of the included hours of implementation.
No. We do not charge for training and support beyond the initial implementation fee. However, we do, at our sole discretion, reserve the right to do so in the event a customer is abusing the privilege of quick and easy access to support resources.

Data
Information entered during enrollment is stored in Enrollsy. You have access to every piece of data and can filter, sort, and save customized views of your data.
Enrollsy provides ways to run custom and canned reports for a variety of data points, including: demographic information, payments, class assignment, and any data element you collect using your customizable enrollment form.
Yes! Enrollsy has a great import feature that makes importing data from your old Student Information System (or from spreadsheets) into Enrollsy a breeze.
The Admin view of Enrollsy is currently only available as a web application, not a native app. However, we give a fair amount of attention to making each aspect of the design responsive and most pages work great on a phone or tablet. There are some pages that will be cumbersome or difficult to manage from a phone due to the large amounts of data and the variety of affordances on these pages. Admins can give themselves a login to the Instructor app (with access to all classes) if they want a more mobile friendly experience and do not need to perform those activities that are unique to the Admin experience (things like collecting payments, running reports, etc.).
All data is stored securely with AWS and is backed up on a frequent basis. Student information is encrypted at rest and in transit. Enrollsy enforces two-factor authentication for any user with access to more than one account using Auth0, the leading provider in identity management.
Yes. All data from the enrollment process can be exported to a CSV file. Saved views of the data allow you to quickly and easily export the specific data you need for specific purposes.

Documents
Enrollsy makes it super easy to integrate E-signatures into your workflow. You can either send them manually (to one or many people at once) at a time of your choosing and/or automate their sending based on enrollment into specific programs or classes.
Most of our clients use Enrollsy for enrollment, which typically means things like a tuition agreement, waivers, contracts, and in some cases state licensing and other regulatory paperwork. However, you can use our E-signature feature for anything other than Wills, Termination of health or life insurance, Power of Attorney, Divorce proceedings, and Adoption documents.
Essentially, these signatures are as good as wet/ink signatures for everything other than: Wills, Termination of health or life insurance, Power of Attorney, Divorce proceedings, and Adoption documents.

Enrollment
Yes. Enrollsy provides a variety of notification options as well as reports for things like enrollments over time (you can either view today, past 7-days, past 30-days, past 90-days. or using a date picker for a custom date range). Enrollsy also tracks class capacities in real times and prohibits enrollment beyond set capacities.
Yes! When a Program or Class is full, you have the option of offering a waitlist. Waitlists are free to enter and are ordered first-in by default. At this time we don't offer any automations for moving Enrollees out of the waitlist into a slot that has opened up. Admin users will need to handle these cases one-by-one as they come up.
Enrollsy offers a few different ways you can give your existing and prospective customers access to your enrollment form. One option is to simply send them a link in an email or text message or share it on social media. These links can be public or private. Private links allow you to break and regenerate the link and people using this link will not be able to browse other offerings you have publicly or privately available. Another option is to embed a button on your website using a code snippet you generate inside Enrollsy. This code snippet can either link directly to a specific class or program form, or it can link to a browse page where all your public programs and classes can be viewed and filtered by the customer.
Enrollsy uses a family or household account to manage all Enrollees and their enrollments within it. This means that you can quickly and easily access the enrollment information for everyone in a household or family.
Enrollsy uses a real-time reservation system to ensure that class capacities are not exceeded. Customers enrolling will see a timer on the screen with a countdown mechanism once they have selected at least one class or program. Another notification will pop up when they have 5 minutes remaining and have yet to complete their enrollment. They can either opt for more time and complete the enrollment or abandon their cart and release that spot back into the inventory.
Yes! Enrollsy is the industry leader in the automation of tuition and other fee payments. With three different types of payment plans, each having unique functionality, Enrollsy gives you an easy way to present payment plans and automate the invoicing and payment collection process. Additionally, Enrollsy offers a variety of fee types which can be used individually or combined on a single invoice.
Yes, Enrollsy is a real-time reservation system that handles Program or Class "seats" in a similar way to a movie theatre. Once the seat is selected, that seat is pulled from the inventory. This allows you to have heavy enrollment simultaneously without the risk of over-enrolling.
Each license of Enrollsy includes one enrollment form. So, to get a second enrollment form, you will need a second license. However, you can use conditional logic to create what are called Program Forms. These allow you to delay data intake until after a Program or Class has been selected. In this way, your single enrollment form collects unique data depending on the enrollment.
Yes. Admins can perform manual enrollments anytime.

Integrations
Use two-factor authentication for every account you create. Ensure that your passwords are not reused and not shared with anyone. Always sign all the way out of accounts on public computers or any device that you do not have complete control over, when your session is over.
We can help you connect Enrollsy to Quickbooks directly within Enrollsy. For other integrations, you'll need to get a Zapier account (free or paid depending on how many tasks you plan to automate).
Enrollsy syncs with Quickbooks Online and Quickbooks Desktop, our SMS provider Twilio, our E-signature provider Dropbox Sign, and Zapier, which opens the possibility of integrating the data you collect through Enrollsy with over 5,400 other apps, including the Google Suite of apps.
Yes! Enrollsy has an integration with Zapier, which allows you to push your data into over 5,400 other applications. Zapier has a free plan as well as paid plans that help you automate a ton of work and processes outside of Enrollsy.
Enrollsy currently doesn't offer an API, so your limitations come down to how much you want to do using Zapier (which integrates with over 5,000 apps). Depending on how you do your accounting, you may also choose to use our Quickbooks Online/Desktop integration.

Payments
Enrollsy allows for electronic check payments, credit and debit card payments, cash, and check.
Enrollsy doesn't hold any card holder or bank account information aside from the last four digits of the account. Payment data is tokenized and encrypted from point-to-point. Enrollsy also doesn't ever hold or process the payments made by your customers. All of that is handled by the processing banks we've partnered with.
Yes. Enrollsy allows you to configure reminder emails for invoices. When a payment declines, Enrollsy automatically sends a notice to the customer and any admin user that has opted into failed payment notifications.
Yes! Enrollsy makes collecting or making payment easy for everyone.
Yes! Enrollsy has detailed financial reporting which includes pre-filtered reporting for current and past due invoices, partially paid invoices, and future invoices. Standard A/R reports and transaction reports allow for further customization into date range and allow you to see payment breakdowns by customer, payment method, and more. From within a customer account, you can print receipts and statements, which they can also do within their portal.
Yes, you can process full and partial refunds for any transaction directly within Enrollsy. No need to login to any other gateway.

Portals
Customer support for the Instructor App is available to company Admin Users. You can also shake the device to report a bug, which will provide you with a form for giving feedback or reporting bugs. Your customers should reach out to you if they are in need of support and you can relay anything requiring our attention directly to us using the chat inside Enrollsy.
Enrollsy performs monthly updates and enhancements based on our product roadmap and bug reports.
Yes! The Enrollsy App is available for download in the Apple App Store and on Google Play. Customers and Instructors can also login using any modern browser on any device, with your company-specific URLs.

Pricing
Enrollsy's pricing is based on the number of locations. A location is a separate place where Programs and/or Classes are held. Each location with a physical address and separate contact details will be charged a monthly subscription. We make a few exceptions to this definition of a location, and may offer custom pricing plans in these cases. Otherwise, with the exception of adding an online location, we charge a monthly subscription fee for each location created.
Some enrollment platforms charge a percentage of your revenue in addition to any software fees. Enrollsy does not do this. If you are going to be accepting electronic payments as part of your enrollment process, then you will need a merchant account. These accounts carry standard fees from the card brands and the underwriters of your merchant account, similar to those you would get from your bank or credit union. There are a couple of additional, optional features that Enrollsy charges for, including E-signatures.

Security
Enrollsy uses industry best practices to ensure your data is secure. From our PCI compliant payment solution, EnrollsyPay to our best-in-class authentication services. If you have additional questions, please contact us directly.
While any data stored in the cloud is by default not 100% secure, there are a variety of things we do to ensure the security of our clients' data. In addition to standard security practices and data backups, we also encrypt our data in transit and at rest. All Admin and Instructor accounts are required to utilize 2FA and our authentication is outsourced to the industry leader Okta (Auth0).
Many actions inside Enrollsy are date- and time-stamped with the user's name, and each login is tracked by our security and user identity partner, Auth0. We also record each session in our app (sensitive data such as payment or PII is masked).
Yes. All data in Enrollsy is encrypted at rest and in transit.
Yes. Each admin user and instructor user must obtain their user account from a trusted source. These accounts also must pass a two-factor authentication test by verifying their email or cell phone in addition to knowing their password. Our user identity and security provider Auth0 is the leading provider of these services and offers a variety of additional security benefits.
